Inbound Email Setup
Create a Group mail account to view inbound emails. Additionally, you can set up an action to create a case or to store bounced campaign emails.
To create a new Group mail account, enter the following information:
- Name. Enter a name for the Group mail account.
- Mail Server Address. Enter the address of the mail server where the emails you want to view are located.
- Mail Server Protocol. From the drop-down list, select either the IMAP or the POP3 protocol. When you select IMAP, additional fields display on the screen to select a Monitored folder, a Trash folder, and a Sent folder. When you select POP3, users can view only the Inbox.
- Mail Server Port. Enter the port number for the mail server.
- Status. This value indicates whether the Group mail account is active or inactive. You cannot view emails in an inactive Group mail account. To change the status, select the appropriate value from the drop-down list.
- User Name. Enter the username to access the mail server.
- Password. Enter the user's password.
- Monitored Folder. This field displays when you select the IMAP protocol. Click Select to choose one or more folders that you want users to view from the Emails module. By default, users can view the Inbox. To select multiple folders, hold down the Shift key or the Ctrl key and select them from the Select Subscribed Folders window.
- Use SSL. Select this box to use Secure Socket Layer (SSL) when connecting to the mail server.
In the Email Handling Options sub-panel, enter information for the following fields:
- Assign To Group Folder. To import emails into Sugar, automatically generate cases, and assign them to users, select an existing Group folder to associate with the Group mail account from the drop-down list, or click Create to create new folder for the account.
- Possible Actions. To generate cases, select Create Case. To store bounced campaign emails, select Bounce Handling.
- Distribution Method. This field displays only when you select the Create Case action. Use it to specify how to assign cases to users. Select Round-Robin to distribute cases evenly amongst all users; select Least-Busy to distribute cases to the least busy user.
- Create Case Reply Template. This field displays only when you select the Create Case action. Optionally, you can use the Create Case Reply template to set up an automated response to notify email senders that a case has been created to resolve their issue. The response contains the system-generated case number in the Subject line of the email.
- Auto-Reply Template. Optionally, use this template to set up an automated response notifying email senders that you received their email. From the drop-down list, select an existing template, or click Create to create a new one.
If both templates are selected, Sugar will respond to the sender with the Create Case Reply template instead of the Auto-Reply template.
- From Name. Enter the name of the user who is sending out the email.
- From Address. Enter the email address of the user.
- Reply-to Name. Enter a name to receive bounced emails.
- Reply-to Address. Enter an email address for bounced emails.
- No Auto-reply to Domain. To exclude a domain from receiving the automatic email response, enter the domain name.
To ensure that the email settings are correct and to view existing folders that you can monitor, click Test Settings.
To save the settings, click Save.
To exit the page without saving your changes, click Cancel.
